TOURING TERMS & CONDITIONS FOR CARAVAN HIRE

The Hirer

1. The hirer must be the person who is driving the vehicle that will be towing the caravan during the hire period and whose name the towing vehicle is registered to.
2. The Hirer must notify his/hers insurance company that a hired caravan is being towed..
3. The hirer must be a minimum of 25 years old.

Hirer's Responsibility

1. The hirer must use the security equipment supplied at all times when caravan is attached and not attached to tow vehicle.
2. The hirer must take all-reasonable care of the caravan and all equipment at all times until it is returned to myself at the end of hire period.
3. The hirer is responsible for the first £500.00 towards any accidental damage caused to the caravan and for the total cost incurred by malicious damage.
4. The hirer shall not let the caravan be towed at a greater speed than 60 m.p.h.
5. Only the hirer or named driver at time of hire to be allowed to tow the caravan.
6. The hirer will not lend hire or lease the caravan or any of its equipment to a third party.
7. The hirer must supply a rear number plate as of the tow vehicle reg. no.
8. The hirer will not take the caravan out of the U.K. unless stated at time of booking.

The Hirer MUST:

1. Ensure that his/hers vehicle is properly equipped and capable of towing a caravan, legally.

2. Inform his/hers Insurance company of his/hers intention to tow a caravan, and arrange cover as necessary.

3. Produce his/hers driving licence and valid insurance certificate at the time of collection. Also produce the original Vehicle Registration document. in order that a number plate can be made for the back of the caravan. This is a legal requirement from the DVLA since January 2003. No number plate can be produced without this document.

4.Return the caravan to the point of collection except by prior agreement with myself.

5. Advise myself immediately in the event of an accident and record any relevant details.

6. Inform myself of any malfunctions or defects, whereupon I will endeavour to repair or arrange repairs of the defect. I regret I cannot accept any claims for damages, or malfunctions.

7. If the caravan is left unoccupied overnight the insurance is not valid and the hirer will be responsible for any damage or if it is stolen.

8. At no time must the caravan be left unattended at motorway services, restaurants etc as this is an ideal opportunity for theives.

9. At no time must the Hirer commission repairs or modifications to the caravan without prior agreement by myself

10. At no time must the Hirer remove or deface any manufactures marks.

11. DVLA Legal requirements since 1997 no one who passed their test after this date is eligible to tow a caravan without taking a trailer test. Also insurance cannot be provided for anyone under the age of 25 years.

12. Hire Fees are due in full 21 days before the hire period commences. Deposits will be forfeit if cancellation is made up to 6 weeks prior to departure, with the full hire fee due if the caravan cannot be re-let.
The hirer is comprehensively insured in respect of the caravan with an excess of £500.00. In the event of theft or malicious damage and the hirer is responsible, this will not be covered under the insurance. Please contact 01737-213967 in the event of an accident. The Hirer must inform his own insurers that the car is being used for towing as the third part risk in respect of the caravan must, by law, be covered by the Insurance Company of the vehicle that is towing the caravan. Loss of any personal belongings are not included.

I will undertake to supply my caravan with roadworthy tyres plus a spare wheel and tyre. Should a tyre become un-roadworthy during the hire period, the hirer will be held responsible for replacement and charges.

Liability:
I cannot accept liability for any third party claims, accidental damage to your party, property or for any relative expenses incurred for any reasons, except claims covered by the insurance policy on the caravan.

Tow bar, lighting and legal requirements:
A tow bar of adequate strength and construction must be fitted to your car. Also you must have fitted a Alko tow ball or similar extended neck type,(CLICK LINK BELOW FOR DETAILS) if not I can hire one to you for an extra £20.00. Also a seven pin lighting socket, which must be mounted and correctly wired before collection of the caravan. Towing mirrors are a legal requirement if your caravan is wider than your car, as the law states that when towing a caravan you must have adequate view of the rear of the car and along both sides of your caravan. The maximum towing speed limit in the UK is 60 mph and caravans are not allowed in the fast lane of the motorways.

Rear Number Plate:

The hirer must supply a rear number plate as of the tow vehicle reg. no. This is a legal requirement from the DVLA since January 2003.
What you need
The number plate supplier will need to see at least one document from each of the lists below. This will allow the number plate supplier to confirm your name, address and entitlement to the registration number. All documents must be original, not copies.
Documents to confirm your identity
One of the following:
Driving licence, whether or not issued in the United Kingdom (UK) (with or without a photo)
A bill from your electricity, gas or water supplier, a landline telephone bill, a council tax bill or rates bill in Northern Ireland (issued within the last six months)
A bank or building society statement (issued within the last six months)
A passport, whether or not issued in the UK
A national identity card issued by the government of a state or territory other than the UK
A debit or credit card issued by a bank or building society
A police warrant card
An armed forces identity card
Documents to establish your entitlement to the registration number
One of the following:
Vehicle registration certificate (V5C or V5CNI)
New keeper supplement (V5C/2 or V5C/2NI)
Certificate of entitlement (V750 or V750NI) to a vehicle registration number
Retention document (V778) (not applicable in Northern Ireland)
A renewal reminder for a tax disc or SORN (V11 or V11NI)
Temporary registration certificate (V379 or V379NI)
A number plate authorisation certificate (V948) with an official stamp from the Driver and Vehicle Licensing Agency (DVLA), Driver and Vehicle Agency (DVA) or Vehicle and Operator Services Agency (VOSA)
A letter of authorisation from a fleet operator (including lease or hire company) - the letter must quote the document reference number from the registration certificate

AT TIME OF COLLECTION
The hirer must produce documents listed below.

1. A valid driving licence, plastic and counterpart.
2. The vehicle registration documentation of towing vehicle.
3. A valid fully comprehensive insurance certificate for the duration of the hire.
4. A valid MOT certificate.
5. Two forms of identification (i.e. passport utility bill).
6. A valid AA or similar breakdown cover which will enable the caravan to be towed back to pick up point. (If you have no breakdown cover and you have a breakdown, then a charge of £1.00 per mile will be made from pick up point to where the caravan is, this will be deducted from the deposit.)
7. A cash deposit of £500.00 is required, this will be refunded to you after a inspection of the vehicle upon its return (caravan to be left clean and free of damage. Toilet to be empty or a fee of £30.00 will be deducted from this)

Documents that are required on the day of collection is both parts of your driving license, another form of photographic ID such as passport, two utility bills and insurance certificate.Failure to provide this required identification will result in loss of reservation deposit and immediate cancellation of the caravan hire, no excuses accepted. You will also be required to bring your registration plate so it can be fixed to the back of the caravan whilst towing.

For European travelling, Euro cover is added on to the insurance plus the cost of European Breakdown cover with the AA.

Collections, Returns and Deposit

The Hirer MUST:

A returnable deposit of £500.00 is held during the period of hire. The deposit will not be refunded in the event of loss of equipment, damage to tyres, breakage of windows and loss of roof lights. The deposit is over and above the hire fee and is refundable subject to :-

1. The caravan being returned in a clean and undamaged condition, no breakages, loss of roof lights, damage to tyres etc..

2. A charge of up to £50:00 will be made should the caravan require extensive cleaning.

3. A charge of £30.00 will be made if the cassette toilet is not emptied and cleaned.

4. A charge of £10:00 per hour will be made in respect of late returns, except by prior arrangement between myself and the client.

5. A charge of £50:00 will be made should it be necessary for myself to collect the caravan within a 40 mile radius of the collection point or £2:00 per mile beyond that distance.

6. All hire fees have been paid

7. AT NO TIME MUST DOGS OR OTHER ANIMALS BE ALLOWED IN THE CARAVAN, AS THE NEXT HIRER MIGHT BE ALLERGIC TO ANIMALS. FAILURE TO COMPLY THE HIRER WILL FORFEIT THEIR DEPOSIT.

8. THE CARAVAN IS NON-SMOKING. If smoking is detected in the caravan the hirer forfeits their deposit.

9. No bicycles are to be carried in the caravan.

10. All equipment supplied in the caravan i.e. Crockery pots & pans etc., must be left clean. Any loss or damages are chargeable.

NOTE: THE TOILET CASSETTE MUST BE EMPTY AND CLEAN ON ITS RETURN FAILURE TO DO SO WILL RESULT IN £30.00 BEING DEDUCTED FROM YOUR DEPOSIT.

BREAKDOWNS / ACCIDENTS
1. In the event of an accident or breakdown, you must report this to myself by phone A.S.A.P.
2. The hirer is responsible for damage/punctures to tyres, and damage to front screens from stone chips etc.
3. In the event of an accident or breakdown, no refund is given and it is the hirers responsibility to ensure the caravan and contents are returned on time.
4. I cannot be held liable for travel, accommodation recovery costs etc. rising from breakdowns or accidents what so ever.

CANCELLATIONS & LIABILITIES
1. I will make every effort to ensure the caravan is available and to your requirements at time of hire.
2. I reserves the right to substitute another caravan size for size or cancel if a caravan is late being returned or unsuitable for hire.
3. A non refundable £150.00 deposit is required at time of booking.
